Wedding Day Planning Timeline Tips

If you want your wedding day to feel smooth, not chaotic, it comes down to one thing: a solid timeline. Timelines are never written into concrete. They serve as a guide through your day and allow you to check off the major parts of your day: first look, ceremony, portraits, dances, etc. If you’re getting ready for your wedding and don’t know where to start, here are some wedding day planning timeline tips.

I usually put together a sample timeline for couples based on a 5:00 ceremony start. From there, collaborating with your wedding vendor team, including your planner, catering staff and videographer/ photographer is super important. If your ceremony time is different, just shift everything slightly and adjust.

Everything should be accounted for and there should be plenty of buffer between key points in case you get a little behind. Most ceremonies run about 30 to 60 minutes (looking at you Catholic weddings!)  and start around 5:00PM.  Receptions usually land in that 4 to 5 hour range. We will use this as a simple starting point.

One thing people forget is travel time. If your ceremony and reception are in the same place, it makes things easier. If not, you need to plan for it using the simplest method possible. If you don’t, everything starts running late and that is when the stress kicks in.

A few notes to consider:

  • Start your day early and have fun. Get everyone ready before the ceremony so nothing feels rushed. Have a mimosa, play cards, start the day with big energy and it carries all day.
  • Give yourself extra time for the moments that matter: first look, sunset photos, wedding party portraits. That is where the real memories come from.
  • Keep the reception flowing. First dance into dinner. Dinner into toasts. Then open up the dance floor and lets get sweaty!

Before the Ceremony

Your day starts way before the time on the invite. That time is for guests. You and your team are already in motion and I’ve probably had 3 donuts.

11:00 AM — Hair and Makeup Starts
Start early so no one is rushed. Bigger group means earlier start. Bride should be last.

1:00 PM — Photographer Arrives
Details get shot first if thats your thing. Outfits, rings, invitations, and the space.

2:00 PM — Wedding Party Ready
Everyone should be dressed when you finish hair and makeup. This keeps photos clean and organized.

2:15 PM — Getting Dressed
Real moments here. Zipping the dress. Fixing details. Your mom crying. Final touches.

2:30 PM — Solo Portraits
Clean portraits of each of you before everything picks up.

2:45 PM — First Look (Optional)
Private moment. No crowd. Just you two.

3:00–3:30 PM — Couple Portraits
If you do a first look, this is a good time for it. If not, you can do any of your other portraits here.

3:40–4:10 PM — Wedding Party Photos
Keep it fun. This is your crew. Celebrate it.

4:15–4:40 PM — Family Photos
Knock these out early. Have a list. Keep it efficient.

 

Ceremony + After

4:45 PM — Guest Arrival Time
Hopefully you don’t have any late guests because we all love that.

5:00–5:30 PM — Ceremony
Short and intentional or as long as your priest makes it. 

5:05–6:30 PM — Cocktail Hour
Guests relax. You sneak away for any photos you didn’t already take, go to your cocktail hour or just relax.

Around Sunset — Golden Hour Photos
Best light of the day. Adjust accordingly.

6:45 PM — Guests to Dinner
Get everyone seated and settled.

Reception

7:00 PM — Entrance + First Dance
Start strong. Keep the energy moving.

7:15–7:30 PM — Welcome Toasts
Short and meaningful. Maybe Mom and Dad have a speech. Or a blessing of food.

7:30–8:30 PM — Dinner  (and maybe sunset photos depending on timing)
Eat. Reset. Take it in. Feed your wedding vendors.

8:35–8:45 PM — Wedding Party Toasts
Keep it tight. No long speeches, no rambling, just short and sweet.

8:50–9:00 PM — Parent Dances
Everyone cries, including me. Then open the dance floor right after.

9:05 PM — Dance Floor Opens
Take those heels off. This is where it turns into a party.

9:40 PM — Traditions
Cake cutting. Tosses. Whatever else you had planned. I stuff my face with cake after.

11:00 PM — Exit
Final song. Final hugs. Best night ever.
